Due to space restraints, RingFest is limited to only 17 full groups and 1 partial group.  At present, there are more groups wanting to attend RingFest than available open spots.  Thus, there is a set of criteria that determines who receive the slot.

First, if your group attended the year before, you are automatically guaranteed a spot in the following year’s RingFest.  This does not apply to groups that come as observers or the group that takes Toledo’s spot, if Toledo is unable to field a group that year.  All other groups that want to attend RingFest go on a wait list.  A school’s position on the wait list is determined by several factors listed below.  It should be noted that RingFest makes no distinction between Conference supported Adventist schools and self-supporting schools.  All are welcome.

  • If a director attends RingFest with one school but then moves to another school who has attended RingFest in the recent past, they are given priority and take the first spot on the wait list. 
  • If a director attends RingFest with one school but then moves to another school who hasn’t attended RingFest at all, they are given a spot on the wait list behind the afore mentioned schools.
  • Schools and directors who haven’t attended RingFest are placed on the list based upon when they ask to be placed on the list.

Inquiries are made in August confirming schools’ intent to attend.  If and when a school is unable to attend, their spot is vacant and we go to the wait list to fill that empty spot.  A call or email is sent to the school in the first position on the wait list and an invitation is made.  If the newly invited school is unable to attend, they are moved to the bottom of the wait list and the invitation is given to the next school on the list.

If a significant emergency takes place immediately before RingFest and the schools is not able to attend, this procedure doesn’t apply.  In the past, this included an outbreak of COVID in the school 5 days before RingFest.  What counts as an emergency is determined by the sole discretion of the Producers of RingFest.
